Office Manager

About the role

The Office Manager will be responsible for the efficient logistical operation of ICO. Duties will involve greeting visitors, answering incoming phone calls, and, in general, ensuring Masjid activities proceed smoothly. The Office Manager will also be responsible for maintaining a welcoming demeanor during interactions with masjid attendees.

Candidate requirements

  • 2-5 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office and Google Workplace
  • Preferred: Bachelor's degree in business administration, communications, or a related field


  • Administrative Oversight:
    • Hold regular and convenient office hours, connecting community members to any appropriate educational, familial, or communal Masjid resources or programs
    • Supervise and coordinate administrative activities to ensure smooth and efficient office operations. ○ Develop and implement office policies and procedures for improved workflow.
    • Address and resolve day-to-day operational issues.
    • Maintain a warm and friendly demeanor to all masjid goers as a primary representative of Allah’s house
    • Oversee and support all administrative duties in the office with Ihsan
    • Perform receptionist duties: greet visitors, answer and direct phone calls and emails
    • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
    • Take concise and detailed notes of board meetings by which the Masjid can monitor the trajectory of its strategic goals
    • Maintain a well-organized and clean masjid and Coordinate maintenance and repairs.
    • Manage office supplies, equipment, and inventory.
    • Manage office budget and record funds collected by Masjid through donation boxes and other means.
  • Event Planning:
    • Plan and manage masjid functions and activities like potlucks, community events, and interfaith outreach events with local churches and synagogues.
    • Develop and execute communication plan for community activities, programs, and events.
